Food Vendors

WoodyFest welcomes Food vendors to participate at this year’s festival!

Vendors will have the opportunity to sell their products from gates open (7:30pm) until the conclusion of the last concert (approximately 12 am) on Thursday, Friday, and Saturday (July 14, 15, 16).

Please understand that no fees will be refunded as a result of inclement weather. All approved vendors will receive two 3-day festival wristbands.

Food Vendor application deadline is June 1, 2022.

The Woody Guthrie Folk Festival is a program of the Woody Guthrie Coalition, a 501(c)3 not-for-profit organization (Fed Tax ID# 983q40q). We reserve the right to refuse sponsorships that fail to align with our mission & values.

Selected vendors will be notified shortly thereafter and payment is due within 10 days of notification. Set-up time will be from 10 am to 12pm on Thursday, July 14, as noted on the vendor applications.

Although selected vendors are permitted to park an RV/camper at the vendor site, please note that we do NOT provide water and/or sewage hook-ups. Please submit any questions via our Contact Form.

  • Food Truck/Trailer Application

    Thank you for your interest in the 24th Annual Woody Guthrie Folk Festival!

    Deadline: June 1, 2022

    Guidelines for Food Vendors:

    1. Note: We no longer offer "wiring in" service. You must be able to plug in directly.
    2. Fee for Vendors is $500.00 for all three nights: Thursday, Friday, and Saturday. Fee includes electrical and water service.
    3. Approved vendors will receive TWO (2) 3-day festival passes/wristbands ($240 total value!)
    4. Payment is due with this application. If your application is not accepted, a notice will be sent and a full refund will be issued immediately.
    5. Oklahoma Sales Tax permit required to be furnished with application.
    6. Vendors will set up at an assigned area at the main festival site. Set-up time is from 10am – 12pm on Thursday, July 14. Set-up will not be permitted prior to this time.
    7. Vendors will be permitted to sell carbonated beverages or water.
    8. Sale of alcoholic beverages is strictly prohibited.
    9. Vendors who want a trash receptacle for their food production waste must provide those receptacles. Dumpsters will be available on the site for emptying your receptacles.
    10. Vendors must comply with our “no pets allowed” policy.
    11. No generators are permitted, but electricity will be provided so long as vendors bring their own extension cords.
    12. Vendors will be allowed 2 vehicles other than trailer at the site. Please note that neither water or sewage hook-ups for RVs are available.
    13. The deadline for completed applications will be 6/01/2022.
    14. Notification will be given to selected applicants by 06/15/2022.
    15. If not selected registration fee will be refunded after 06/15/2022.

  • Please enter your 10-digit Sales Tax Permit Number. STS-
  • Vendor Food Truck spaces will be assigned and 30' x 10' in dimension. Only 1 truck or trailer per vendor space permitted. All units must be self-contained (Electricity and Water will NOT be provided). Generator noise level output may not exceed 75dB.
  • Food Vendor spaces should include the complete length, including the tongue if it's a trailer.
    Please enter a number less than or equal to 30.
  • Food Vendor width should include any protruding counters or other items.
  • All food trucks/trailers are required to provide the following documentation to apply to be a food vendor at the Woody Guthrie Folk Festival. Please upload scanned copies of your valid, current (expiration date beyond 7/14/22) licenses and permits below. All expired licenses will void the application. Please upload image files for logo and photo(s). The forms you upload will appear below, where you can click the red x to delete them from the application, if necessary.

    • To Woody Guthrie Coalition, Inc.:

      My submitted application implies I agree to comply with Woody Guthrie Folk Festival rules, regulations, policies if accepted. Failure to do so will result in the forfeiture of Food Truck space. I understand that acceptance of my application is a commitment to show and that once notified of acceptance, no refunds will be given. I also understand that Woody Guthrie Coalition, Inc. will provide security during the Event but will not be held responsible for theft, fire or damage to any displays, materials or goods that I provide. I also understand that I take full responsibility for the safety of my equipment and myself, and for all materials for set up and displays, clean up and maintenance of the area. I will not hold Woody Guthrie Coalition, Inc. or Woody Guthrie Folk Festival or its staff or volunteers responsible in the event of loss or injury. The Applicant and its representatives agree to comply with the vendor & insurance requirements described above.

      INDEMNIFICATION AGREEMENT:

      My signature below indicates that in consideration of being selected to participate as a Food Vendor at Woody Guthrie Folk Festival, I agree to fully release, indemnify and hold harmless Arts & Humanities Council of Stillwater OK Inc, Woody Guthrie Folk Festival, and their officers, agents, employees, independent contractors, and all persons, natural or corporate, in privity with them, against all claims, damages or other causes of action, including but not limited to, personal injury, death, property damage, lawsuits or judgments made by or against me, including court costs, expenses and attorney’s fees, and all other expenses, which are associated directly or indirectly with the activities, events, or programs of the Woody Guthrie Folk Festival. I further agree that this release and indemnifications shall apply whether or not the claims, damages, or other causes of actions, including but not limited to personal injury, death, property damage, lawsuits or judgments made by or against me, including court costs, expenses and attorney’s fees, arise directly or indirectly from the negligence, action or failure to act, whether willful, intention, or unintentional, of Woody Guthrie Coalition Inc., or their officers, agents, employees, independent contractors, invitees, licenses or guests, or any vendor, exhibitor, or entertainer, their agents or any other persons, natural or corporate in privity with Woody Guthrie Coalition Inc.
